HR Recruitment Privacy Policy

VIRNECT Co., Ltd. is doing its best to keep your personal information safe, and complies with data protection laws and government guidelines.
This privacy policy applies to applicants (hereinafter referred to as “applicants”) who wish to apply for a job at VIRNECT Co., Ltd. (“Company”).
1.
Items of personal information processed
The company collects the following personal information from job applicants, responses to inquiries related to employment, and the identification of persons subject to employment protection.
Job application: name, e-mail address, phone number, resume, veterans information (if applicable), disability (if applicable)
Treatment consultation: Evidence for treatment calculation
Final Pass: Resident registration certificate, graduation certificate, references, salary account copy, certificate of disability (if applicable), certificate of employment support applicant (if applicable) (For the terms of use, collection/use of personal information, provision of personal information to a third party, and entrustment of processing of personal information, you will be asked to give your consent.)

Purpose of processing personal information
Job application: Admission process, revision of job application, confirmation of acceptance, smooth communication with job applicants
Treatment consultation: Evidence for treatment calculation
Final pass: applicant information verification, salary payment, 4 major insurance subscriptions, income report

Provision of personal information to third parties
The company uses personal information within the scope notified in "2. Purpose of processing personal information", and, in principle, does not use personal information outside this scope or disclose personal information to the outside without prior consent of the applicant. However, exceptions are made in the following cases:
If the applicant has given their consent in advance in accordance with the provisions of laws and regulations
If there is a request from an investigation agency in accordance with the procedures and methods stipulated in the laws for investigation purposes, the applicant needs to be contacted individually in advance and asked for their consent before proceeding.

Entrustment of processing of personal information
In order to provide improved services, your personal information may be outsourced for processing. If the processing of personal information is entrusted to a third party, we will notify you in advance.
5.
Processing and retention period of personal information
The applicant’s personal information is processed and retained within the data retention/use period agreed upon, and is destroyed immediately once the purpose of processing personal information is achieved.
The application history information of job applicants is stored for one year from the date of withdrawal and then destroyed in order to allow to check the application history and limit re-application of those who do not pass the interview. If an applicant requests to delete personal information, the information is deleted without delay.
For successful applicants, the information permitted to be retained by the relevant laws and regulations is kept for the period set by these laws. (However, if separate consent is obtained, personal information may be processed and retained within the agreed-upon purpose/use period of personal information.)
6.
Personal information destruction procedure and method
In principle, personal information is destroyed without delay once the purpose of processing personal information is achieved. The company's personal information destruction procedures and methods are as follows:
Destruction procedure
The information entered by the applicant is moved to a separate DB after the purpose is achieved (in the case of paper applications, the information will be stored in a separate filing cabinet) In accordance with internal policy and other relevant laws and regulations (in reference to to "5. Personal Information Processing and Retention Period"), the information is stored for a certain period and then destroyed.
This personal information will not be used for any other purpose other than being retained unless otherwise required by law.
Destruction method
Personal information stored in electronic file format is deleted using a safe method that prevents the information from being reproduced.
Personal information printed on paper is destroyed using a shredder.
7.
Rights and obligations of applicants and how to exercise them
Applicants can inquire about or modify their registered personal information at any time, and may request deletion or suspension of processing their information. If you wish to delete your information or suspend the processing of information, please contact the person in charge of personal information protection in writing, by phone or by e-mail, and we will take immediate action.
8.
Measures to ensure the safety of personal information
In handling personal information, the company is taking the following safety measures to ensure that personal information is not lost, stolen, leaked, altered, or damaged.
Measures against hacking: The company is doing its best to prevent leakage of or damage to users’ personal information due to hacking or computer viruses. Data are frequently backed up in preparation for damage to personal information, and the latest vaccine program is used to prevent leakage of or damage to users' personal information or data, and to ensure safe transmission of personal information over the network through encrypted communication, etc. In addition, an intrusion prevention system is used to control unauthorized access from the outside, and we equip all technical devices with state-of-the-art protection systems.
Limitation of the number of staff entrusted with the task of processing personal information and training: The company's personal information processing staff is limited to the person in charge, who, in compliance with the personal information processing policy, receives frequent training in this matter. Any handover of personal information is carried out thoroughly and in accordance with a strict security protocol. The responsibility for any accidents with regard to personal information during and after an employment relationship is clarified.
Operation of an exclusive organization for personal information protection: When entering the company, human information leakage is prevented through the security pledge of all employees. Whether the data processing policy is implemented and the person in charge fully complies with it is checked by the in-house personal information protection organization. If a problem is found, we work hard to fix it immediately. However, the company is not responsible for any problems caused by the leakage of personal information such as ID and password data if this leakage was due to the user's own negligence or personal internet problems.

10.
Revision of Privacy Policy and Notice
If the current personal information processing policy is revised, this will be announced in advance on the website 7 days prior to enforcement. However, if there is a significant change in user rights with regard to the collection and use of personal information or the provision of personal information to a third party, this will be announced at least 30 days in advance.
